123.hp.com/Officejet Pro 8620 – Setting up the Printer

Step 1: Unpacking the printer – Removing from box

  1. The 123.hp.com/officejet pro 8620 printer should be removed from its box.
  2. All the tape and packing materials should be removed.
  3. The sticker on the printer control panel display should be removed.
  4. Using the slot on the left side of the printer, pull open the ink cartridge access door.
  5. Remove any tape or packing material found inside your printer.
  6. The cartridge access door should be closed.

Step 2: Installing the duplexer (two-sided printing device)

  1. Get the duplexer out of the box and take off any tapes around it.
  2. The printer’s rear should be facing you.
  3. With the rollers facing the printer, the duplexer must be placed in the slot at the printer’s rear. Then push it inside till it locks into place.
  4. The printer should be turned such that it faces you.

Step 3: Installing the second tray (This is optional)

Tray 2 is optional and does not ship with all printers. If you don’t have this accessory, then you may skip this step.

  1. Take Tray 2 from the box, remove all the packing material and tapes from the box and the tray.
  2. The tray should be placed on the surface where you will be using the 123 HP OJP 8620 printer.
  3. The printer should be lifted & held over and above the paper tray. Then slowly lower the printer on to the tray.
  4. Ensure the printer is seated evenly on all the edges of the tray.

Step 4: Connecting the power cable and choosing your preferences

  1. The power cable should be connected to the printer’s rear. The other end should be inserted in to a power outlet.
  2. The printer should be switched on.
  3. Using the control panel of the printer, choose your preferred language and tap Continue to proceed as per your choice.
  4. Navigate using the menu on the panel and choose your country/region and tap Continue to proceed as per your choice
  5. Tap Date and Time and navigate using the touchscreen to enter the month, day, year details
  6. Tap on done

Step 5: Loading paper into Tray 1

  1. Grab the bottom of Tray 1 and then pull it out.
  2. The paper width guides should be slid to their outermost positions by pinching the paper width guide tabs.
  3. Plain paper should be kept in the tray. Ensure that the print side faces down and that the short edge faces forward.
  4. If required, the paper width guides can be slid inward such that they are against the edges of the paper.
  5. The tray should be pushed towards the printer till it snaps into place.
  6. The output tray extender should be pulled out and the paper catch should be raised.

Step 6: Loading paper into Tray 2 (This is optional)

Tray 2 is optional and does not ship with all printers. If you don’t have this accessory, then you may skip this step.

  1. Grab the bottom of Tray 2 and then pull it out.
  2. The paper width guides should be slid to their outermost positions.
  3. Plain paper should be kept in the tray. Ensure that the print side faces down.
  4. The paper width guides should be slid such that they are against the edges of the paper.
  5. The tray should be slowly placed into the printer.
  6. The output tray extender should be pulled out and the paper catch should be raised.

Step 7: Installing the SETUP ink cartridges

  1. Using the slot on the left side of the HP 8620 printer, pull open the ink cartridge access door.
  2. The printer should remain silent and idle before you proceed to the next step.
  3. The ink cartridge should be removed from its cartridge.
  4. Holding the cartridges on the sides with the nozzles facing the printer, ink cartridge should be placed in its slot. Then push it forward so that it locks into place.
  5. Carry out these steps for all the new ink cartridges.
  6. The ink cartridge access doors should then be closed.
  7. Please wait as the printer needs to align the ink cartridges. Once the alignment is completed, the printer will print an alignment page.

The ink cartridges for your printer are shipped along with it. Now follow the steps below for proper installation of these ink cartridges on your printer.

  1. Open Finder and under the top menu bar, click on Go. Now click on Applications. The double-click on HP Utility, found in the HP 8620 folder,

  2. Click on All Settings, click on Scan to Computer, and then click on the box near Enable Scan to Computer,

  1. In the printer control panel, go to the scan icon or menu, choose the computer name, then locate scan to email shortcuts (such as Email as JPEG or Email as PDF)
    • If scan to email shortcuts do not display – It means that the printer does not support the scanning to email feature. You can manually attach scanned images to a folder in your Mac to an email
    • If scan to email shortcuts gets displayed, then proceed to the next step
  2. Go back to the Applications folder on the Mac and confirm that Mail.app or is found in the list,
    • If you find that Mail or Mail.app is not listed, then the scan will not be completed
    • If Mail.app or Mail is found to be listed, then proceed to the next step
  3. In the printer control panel, choose or touch the scan to email shortcut that refers to your scan job,
    • If you find that Mail is activated, then an mail automatically open with the scan attachment
    • If you find that Mail is not activated, then try sending the scan again

Step 1: The document or photo should be loaded

Scanning from the Scanner Glass:

  • The scanner lid should be lifted.
  • The item should be placed print side down on the scanner glass. You can place it as per the engraved guides given on the edge of the glass,
  • The scanner lid should be closed.

Scanning from the ADF (Automatic Document Feeder):

  • The item should be kept into the document feeder tray. The print side should face up and the top should go first in the tray,
  • The item should be slid into the ADF such that a tone or message will be seen on the 123.hp.com/officejet pro 8620 printer control panel.
  • This indicates that the item that has been loaded has been detected by the printer.
  • The paper guides should be adjusted such that item fits properly.

Step 2: Scanning the photo or document to the computer

  • Tap Scan on the control panel of the 123 HP Officejet Pro 8620 printer
  • Tap Computer to scan to the required computer.
  • Tap the computer name that you would like to scan to.
  • Tap the scan-to type that matches the photo or document that is being scanned. (That is, Save as PDF or Save as JPEG).
  • Tap Start Scan to get the item scanned.
  • The destination folder where the scan is saved will open automatically on the computer.

Note:

If you make a scan, copy or fax and find that the printed output has color bands or vertical lines
